Terms and privacy.
Written to be read rather than skimmed past. Updated 8 November 2026: terms version 2026-11-07.2, privacy policy version 2026-11-08.
Part one
Privacy policy.
What we collect, why each item is needed, where it goes, and what you can ask us to do with it. Written against the Australian Privacy Principles.
P01Who we are
PropClario is a trading name of Rubik’s Cube Consulting Pty Ltd (ABN 47 637 650 698). Contact: hello@propclario.com.au.
This policy explains what we collect when you use the site or buy a report, why, who receives it, how long we keep it, and what you can ask us to do. We have written it against the Australian Privacy Principles and handle personal information as it describes.
P02Collection notice, in short
We collect the address you check, your email address and any purchase details you choose to enter, to produce, deliver and correct your report and to take payment. Payments are handled by Stripe; we never see your card. Our privacy policy explains who else receives your information, how long we keep it, and how to access, correct or delete it.
P03What we collect
Only what is needed to produce, deliver and correct a report, and to take payment.
- Account: your email address and a password. The password is handled by our sign-in provider and stored only as a one-way hash; we do not keep it.
- The address you check, the address record you confirm, and its map position.
- Purchase details, only if you choose to enter them for the stamp-duty estimate: the price, and whether the property will be your home, whether you are a first-home buyer and whether you are a foreign purchaser. These are carried in the page address, so they can appear in our host’s request logs.
- Your acceptance of these terms and this policy: the version and the time.
- Orders and payments: the amount, the status and the payment provider’s reference. We never see or store your card details.
- Report credits: the packs you buy, the credits used from each and on which order, and their expiry. A request for a refund of unused credits, and its amount.
- If you belong to a firm account: the firm’s name, ABN and, optionally, its licence number and contact line; your role in the firm; and invitations you send or accept.
- If a firm orders a report and types a client name for the cover: that name, kept with the order and printed on the report cover only. We do not use it for anything else, and we never contact the person it names.
- Each attempt to open one of your reports: when, and whether it was allowed.
- How you first reached the site, kept in a first-party cookie and with your order: the campaign link or referring website, the first page you opened and a random identifier (see Cookies).
- Technical request records kept by our host, including IP address, browser type and the page requested, used for security and fault-finding.
- On our public pages only (the home page, pricing, guides, the sample report and similar), visit statistics through Google Analytics: the page you opened (its address without any details after it), the site you came from, your browser and device type, and the approximate area Google works out from your IP address (see Cookies). Checks, property pages, orders, your account and sign-in never load it.
- How the site is used, through PostHog, on every page: the pages you open (their address without any details after it, apart from campaign tags; a property page’s address keeps our reference number for that property, while the street address and map position carried after it are removed), what you click, errors the site hits, your browser and device type, and the approximate area worked out from your IP address. Until about January 2027 we also record how pages behave while you use them (mouse movement, scrolling, clicks, what appears on screen, messages the page writes to the browser console, and the requests the page makes with their timing and result, but not their contents) so we can find and fix what is not working. In those recordings everything you type is hidden, and any street address or email address on screen is blurred before it leaves your browser. Your account (including your reports and firm account pages) and our staff pages are never recorded. We do not send PostHog your name or email.
P04What we do not collect
We do not ask for your name, phone number or postal address. We do not ask for, and do not want, any information about children, such as a name, date of birth or current school.
The service is intended for adults making a property decision. We do not knowingly collect personal information from anyone under 18.
P05What we do not do with it
These are commitments, not intentions.
- We do not sell your personal information or disclose it for anyone else’s marketing.
- We do not use your information, your searches or your reports to train machine-learning models.
- We do not pass your details to an agent, conveyancer, inspector or other professional unless you ask us to, in that instance.
- We do not build an advertising profile from your searches, and we do not use advertising cookies or pixels.
- We do not tell the owner, the agent or anyone else which property you checked.
P06Who receives it
We use these providers and services to run the service. Each receives only what its job needs.
The public registers we query receive a map position or an address. They are not told who is asking.
- Supabase: sign-in and our database, including your account, orders and reports. Our database is hosted in its Sydney region.
- Vercel: hosts the website. Our server functions run in its Sydney region; it keeps request logs.
- Stripe: takes payment directly, so we never receive your card details.
- Resend: sends our emails: sign-up confirmation, password reset, receipts, report-ready, held-order and refund notices. Receipts and report-ready emails name the property address. Resend also tells us if an email bounces or is reported as spam.
- Stripe also receives, with your order, how you first reached our site (the campaign link or referring website and the first page you opened), so a payment can be matched to the campaign that led to it.
- Google Analytics: counts visits to our public pages and where they came from, as described under What we collect. It never receives the address you check, your purchase details, your email or your name. Its advertising features and Google signals are switched off.
- PostHog: product analytics, error reports and the temporary page recordings described under What we collect. It never receives what you type, your name or your email, and addresses on screen are blurred before they reach it. Recordings are kept for no more than 90 days.
- A firm account’s owners and administrators see the firm’s members, its credits and the orders placed with its credits. Whether members see each other’s reports is a setting the firm controls.
- LaunchCore, our own campaign-measurement service: receives a random visitor identifier, the campaign link or referring website, the first page you opened, a one-way-hashed account identifier, and the fact that a check, checkout, purchase or refund happened, with its amount. It never receives your email address, name or the property you checked.
P07Information that may leave Australia
Stripe, Vercel, Resend, Google and PostHog are overseas companies, and Supabase is part of one. The countries where they are likely to store or process your information are: Stripe, the United States and India; Vercel, the United States; Resend, the United States and Japan (our emails are sent from its Tokyo region); Supabase, the United States and Singapore, although our database itself is in Sydney; Google Analytics, the United States; PostHog, the United States. Each provider may also use other countries where it or its own suppliers operate; their privacy policies list them.
P08How long we keep it
Different records are kept for different reasons, so each has its own period.
- Payment records (what you bought, when, the amount, any refund and the payment reference): seven years after the transaction, because company financial records must be kept that long. If you delete your account they are kept without your email address.
- The terms and policy versions you accepted, with the time: kept with the payment record, because they show what the purchase was made under.
- Released reports, the evidence behind them and any purchase details you entered: six years from release, which is generally how long a claim about a report can be brought in Victoria. Save a copy if you want one for longer.
- Your account: until you delete it, or until two years pass with no sign-in and no report still kept for it.
- Records of attempts to open a report: twelve months.
- Technical request logs held by our host and database provider: for the short period each provider keeps them. We do not copy them.
- Backups: deleted information can remain in a database backup until that backup expires, at most seven days.
P09If PropClario stops trading
We will email every account holder at least 30 days before the service closes, so you can save copies of your reports.
When the service closes, reports, accounts and the information behind them are deleted. Payment records are kept for as long as Australian company law requires, including after the company itself is closed, and then destroyed.
P10Deleting your account
You can delete your account from the account page. This is exactly what happens:
- Your sign-in is deleted immediately, so the account and its password stop working.
- Your email address and name are removed from our customer record.
- Order and payment records are kept for the period above, with your identifying details removed.
- Unused credits in packs your account bought are cancelled. Ask for a refund of unused credits first. Credits a firm bought belong to the firm and are not affected.
- Reports already released are kept unchanged, because a released report is a dated record and is never edited.
P11Security
A report is visible only to the account that bought it, after signing in, or, for a report a firm ordered, to the members of that firm its settings allow. Another customer cannot reach it by guessing an address or an identifier, and every attempt to open a report is recorded.
Staff access is limited to the people who need it, and staff accounts require multi-factor authentication.
If a breach of your information is likely to cause you serious harm, we will tell you promptly, and the Office of the Australian Information Commissioner where the law requires it.
P12Your rights, and complaints
You can ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, subject to the records we must keep. Write to hello@propclario.com.au.
Correcting your details is simple. Correcting a finding in a released report is different: we issue a new version and keep the original, so the record of what it said stays intact.
If you are unhappy with how we handled your information, tell us first. If our answer does not resolve it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
P13Cookies
We use cookies to keep you signed in. We also set one first-party cookie, kept for 90 days, that records how you first reached our site: the campaign link or referring website, and the first page you opened. It holds a random identifier, not your name, email or the address you look up, and we use it only to count which of our own campaigns lead to checks and purchases. It goes only to our own measurement service and, with your order, to Stripe. It is never shared with advertisers, and we do not use advertising cookies.
On our public pages, Google Analytics sets its own cookies (such as _ga, kept for up to two years) to count visits and tell new visitors from returning ones. They hold a random identifier, not your name, email or any address you look up, and are not used for advertising. You can block them in your browser settings without losing anything on the site.
PostHog stores a random identifier in a cookie and in your browser’s local storage (named after our PostHog project, kept for up to a year) so visits and recordings from the same browser can be linked. It holds no name, email or address and is not used for advertising. Blocking it loses nothing on the site.
While you buy a report, a cookie kept for up to an hour remembers the order and that you accepted the Terms, so signing in takes you straight to payment. It holds the address and the answers you gave for that order, goes nowhere else, and is deleted when payment starts.
P14Changes to this policy
If we change this policy in a way that matters to you, we will tell you rather than quietly updating the page. The version and date are shown at the top.
Part two
Terms of sale.
What you are buying, how it is checked, what it is not, and what happens when something is wrong, including refunds, corrections and complaints.
T01Who you are dealing with
PropClario is a trading name of Rubik’s Cube Consulting Pty Ltd (ABN 47 637 650 698). Contact: hello@propclario.com.au.
T02What you are buying
One research report about one residential property in Victoria that you confirm on the map, for A$29, or paid for with one report credit (see Report credits). There is no subscription and nothing renews.
The report sets out what published government records say about the property: every planning zone and overlay on the block, including flood-related controls and the Bushfire Management Overlay; whether the block is in a designated Bushfire Prone Area; whether any part of it was mapped as flooded in October 2022; mapped easement lines; EPA register entries and landfill sites nearby; nearby schools, childcare, health centres, parks, sports grounds, shopping centres and public transport, with timetabled departures; a stamp-duty estimate if you give your purchase details before buying and your purchase is one we can calculate; yearly council rates and the Emergency Services and Volunteers Fund levy, worked out from published rates where we have captured them and you give the capital improved value from the rates notice (for the few councils that rate on another basis, the report gives the rate rather than an amount); water charges where we have captured the water corporation’s published charges; the Land Use Victoria transfer registration fee if you give the purchase price, and the mortgage registration fee if you borrow; Victorian Heritage Register and Heritage Inventory listings; the state’s regional 2100 sea-level-rise model within 1 km of the block; for the City of Casey, planning applications at the address and on the same street; state-funded projects of $5 million or more listed for the suburb or council area; and context about the area: recorded offences, the nbn footprint for the area, power lines of 66 kV or more, road crashes and the 2021 Census.
For schools, the report gives the official way to check a school zone for your entry year, and the questions to ask. It does not tell you which school zone the property is in, and it never states that a child is entitled to a place.
Reports are available for residential property anywhere in Victoria.
The report is delivered as a private page in your account, with a PDF copy you can download, and we email you when it is ready.
The operator is not registered for GST, so no GST is charged and no tax invoice is issued.
T03How it is checked
Reports are produced and checked automatically, by software, against fixed rules. No person reviews each report individually.
Before a report is released, the software confirms the address matched exactly one parcel, that every planning layer answered, that every section has a stated result, that every source is cleared for this use and named with its licence, and that the wording stays within what the evidence supports. If any of those fails, the report is not released.
T04What it is not
A PropClario report is not, and must not be relied on as:
- A valuation, a price estimate, or any opinion about what the property is worth.
- A forecast of property prices or growth.
- Legal advice, a contract review, or a review of a Section 32 vendor statement.
- A title search, or confirmation of easements, covenants or restrictions.
- A building, pest or structural inspection.
- Confirmation that a planning permit will or will not be granted.
- A flood or bushfire assessment. A planning control on the map is not a full assessment of the land.
- Confirmation of a school zone, a school place or enrolment eligibility.
- A statement that insurance will be available, or at what premium.
- Financial, credit or investment advice, or a recommendation to buy, avoid or bid.
T05The limits of public records
Everything in the report comes from published sources or from what you told us. Those sources can be incomplete, out of date or wrong, and some published extracts lag behind the live register they come from.
A check that could not be run is not evidence that nothing applies. Where a source was unavailable, incomplete or did not cover the property, the report says so and names who can resolve it. Do not read a gap as a clear result, and do not read "no mapped match in the checked source" as "nothing there".
The report lists the sources it relied on, each with the date we checked it or, for a dataset we download, its release and the date we downloaded it. Records can change after that date.
Distances are straight-line distances, not walking distances or travel times.
T06Relying on the report
The report is for you, for your own decision about this property. You may share it with your partner and with the people advising you, such as your conveyancer, lawyer, broker or inspector.
It is one input to that decision. Where the report names an authority to confirm something with, do that before you rely on it.
T07If we cannot release your report
If the address cannot be matched to exactly one parcel, a required source does not answer, or any of the automatic checks fails, the report is not released. We do not release a thinner report and leave the gaps unexplained.
If a check could not run for a temporary reason, such as a register not answering, we retry it automatically.
If it still cannot be released, the order is held and we email you to say so. If a held order cannot be released by the end of the next business day after you paid, we stop trying, email you, and initiate a full refund within two business days.
If the report cannot be produced at all, for example because the address does not match exactly one parcel, we email you and initiate a full refund within two business days.
T08Refunds, corrections and complaints
Our services come with guarantees that cannot be excluded under the Australian Consumer Law, including that they are provided with due care and skill and are fit for the purpose we describe. Nothing in these terms excludes, restricts or changes those rights. If anything here appears to, the Australian Consumer Law prevails.
On top of those rights, our own policy is:
- A held order is refunded in full.
- If a finding is materially wrong because of our error, we issue a corrected version at no charge, and refund you if a correction would not fix the problem.
- If the report is about the wrong property because of our error, we correct it or refund you.
- If you confirmed the wrong address yourself, contact us. We will look at what can be done rather than refusing outright.
- We do not normally refund a released report because you changed your mind. That does not affect your Australian Consumer Law rights if something was wrong with it.
- To ask for a refund or a correction, or to complain, write to hello@propclario.com.au with your report reference, which is shown at the top of the report and in the email telling you it is ready. We aim to acknowledge within one business day.
- We initiate a refund within two business days of deciding it is due. Refunds go back to the card you paid with, through Stripe; how long they then take to appear depends on your card provider.
- Once an order is refunded, its report can no longer be opened, downloaded or compared in your account, in any version. Keep your own copy if you need one; a copy you saved earlier is still yours to keep, but it is not updated or corrected.
T09Report credits
You can buy report credits in a pack. One credit pays for one report about one residential property in Victoria.
- Packs for individual buyers are 3 credits for A$69, 5 for A$99 and 10 for A$169. Packs for firms are 10 credits for A$169, 25 for A$349, 50 for A$599 and 100 for A$990. The GST statement in What you are buying applies to packs too.
- Credits are added to your account once Stripe confirms the payment.
- Credits can be used for 12 months from the day you buy the pack. After that, unused credits expire and cannot be used or refunded, except as the refund of unused credits below and the Australian Consumer Law allow.
- Credits are spent one at a time when you order a report and choose to pay with a credit. The credits that expire soonest are used first.
- Refund of unused credits: while a pack has not expired, you can ask for a refund of it from your account page. We refund what you paid for the pack, less A$29 for each credit from it that has been used, and never less than nil. When you ask, the pack’s unused credits stop and can no longer be used, so the amount cannot change. Reports already ordered with its credits are not affected. We initiate the refund within two business days of the request, to the card you paid with.
- If a report paid for with a credit cannot be released (see If we cannot release your report), the credit is returned to the pack it came from instead of a refund of money. A returned credit keeps its pack’s expiry date.
- Credits belong to the account that bought them. They cannot be transferred to another account or exchanged for money, except by the refund of unused credits above.
- A pack buys reports only. It does not include any other service.
- Nothing in this clause limits your rights under the Australian Consumer Law.
T10Firm accounts
A business, such as a conveyancer, lawyer or buyer’s agent, can open a firm account and order reports for its clients. For those reports, the firm is our customer, and these terms apply to the firm.
- Firm accounts are for businesses that act for buyers. A real estate agent, or anyone else acting for the seller of a property, cannot open or use one. If we find that a firm account is used for a seller, we may close it. A refund of its unused paid credits is then as set out in Report credits.
- The firm’s members order reports with the firm’s credits, or pay by card. The firm is responsible for what its members do in its account, and for removing members who should no longer have access.
- A firm gets 5 free credits once we have checked its ABN. Until then, it can buy only the 10-credit pack. Free credits are valid for 12 months and are not refundable.
- The firm’s client does not need an account and never signs in. We do not contact the client. The firm passes the report on, for example as the PDF.
- If the firm types a client name for the report, it is printed on the report cover and used for nothing else. The firm must have the client’s agreement to give it to us.
- A firm that passes a report to its client must also pass on any correction or superseding version we issue for it, and must not change a report before passing it on.
- If the firm adds its logo, it confirms it has the right to use it and lets us print it on the covers of reports it orders. We may remove a logo that misleads about who the firm is.
- The report is about the property. It is not advice to the firm or its client, and it does not replace the firm’s own professional judgement or duties.
T11Corrections and versions
A released report is a fixed snapshot and is never edited afterwards. If something needs correcting, we issue a new version that records what changed and why. The earlier version stays readable.
This is deliberate. If you relied on a report to make an offer, you need to be able to show what it said at the time.
If we correct a report, we will tell you.
T12Who owns what in the report
PropClario’s own text, explanations, layout and software belong to us. You may use them for your own decision and share the report with the people advising you, but please do not republish them or sell them.
The data in the report belongs to its publishers, under the licence the report names for each source, mostly Creative Commons Attribution 4.0 (CC BY 4.0). Nothing in these terms limits what those licences let you do with the licensed data itself.
T13Data we use from others
The report mostly uses Victorian Government open data, including Vicmap, EPA Victoria registers and Transport Victoria timetable data, under CC BY 4.0. Some sources use other licences, such as the City of Casey’s planning register (CC BY 3.0 AU) and the Overture Maps places data. The report’s sources list names each source’s publisher and licence, and the date we checked it or downloaded it.
The State of Victoria and its agencies do not endorse PropClario, the report or any conclusion drawn from the data.
T14Our responsibility
We take care to assemble the report accurately from the sources it names, and to state clearly what it does not cover. We do not control the public registers, so we cannot promise that a register is complete, current or correct.
If we fail to provide the service with due care and skill, you have the remedies the Australian Consumer Law gives you.
T15Acceptable use
Use the service for your own property decisions.
Do not scrape the service, get around its access controls, or order reports in bulk to rebuild our data.
Do not use a report to harass, profile or make decisions about the people who live at a property. The report describes land, not people.
T16Your account
You need an account to buy and read a report. Keep your password to yourself.
We may suspend an account that breaches these terms or threatens the service, and we will tell you why.
You can delete your account at any time from the account page. The privacy policy says exactly what is removed and what is kept.
Credits bought by your account stay with your account. If you delete your account, its unused credits are cancelled. Ask for a refund of unused credits first (see Report credits).
T17How long your report is kept
A released report stays available in your account for six years from release. Save a copy if you want it for longer. The privacy policy lists every record we keep and for how long.
T18If PropClario stops trading
If we stop offering the service, we will email every account holder at least 30 days before it closes, so you can save copies of your reports. After it closes, reports and accounts are deleted; payment records are kept for as long as Australian company law requires, and then destroyed.
T19Changes to these terms
The version you accepted when you bought a report applies to that purchase. If we change these terms, the new version applies to later purchases only.
T20Governing law
These terms are governed by the law of Victoria, Australia.
